Scope Group: Overcoming challenges to merge three intranets
On the back of a merger of three separate entities, Scope Group has combined three legacy intranets into one. The project, delivered within an ambitious one-year timeline, involved a number of technical challenges including separate Microsoft 365 tenants and different versions of SharePoint. Despite limited resources, the team has successfully launched a new intranet that has good adoption and offers a greatly improved user experience.
Notable features of the project include the continuing involvement of users to provide input and feedback, using existing assets and approaches to save time, and pragmatic decisions such as limiting search scope so as not to derail the project. The new intranet includes a number of features including personalised links, a shout-outs feature, a digital assets centre where users can download brand-approved images and more.
Why this won a Silver award
- This is a great example of launching an intranet despite multiple technical, resourcing and operational challenges.
- Despite hurdles, the new intranet has not compromised on user experience.
- Consolidating three intranets into one within that tight time frame is an achievement in itself.
- The project team has demonstrated both a can-do attitude and creative pragmatism in overcoming a series of hurdles, with lots of tips and tricks for other teams to take note of.
- We like how the team has consistently taken into account the cultural sensitives of the merger, both in seeking input into the project, as well as their comms about the intranet.
- There are some great approaches and ideas including the consent tracker for images, the use of heat mapping to unlock content insights, and more.
- There is a prudent use of existing assets and approaches such as research, content formats and the information architecture.
- Note: Step Two did not score this entry.
